    Massive breach adds to government data problemsData security woes are in the news – again. And the story is about the federal government – again.

    This time, the headlines are about a massive data breach into the U.S. Office of Personnel Management computer systems. According to ABC News, personal information about cabinet secretaries is believed to be among the exposed data of more than 4 million current and former federal employees.

    Stories about government agencies and businesses with email and data retention troubles are all over TV, the web and social media lately.

    A firestorm was ignited recently over revelations that Hillary Clinton used a private, non-government email account while she was secretary of state. Debates and discussions have ensued about email preservation, records retention and what businesses should learn from Hillary’s email scandal.

    The IRS has its email troubles, too: it couldn’t find two years worth of former employee Lois Lerner’s emails, a huge problem considering they were under subpoena from Congressional investigators. Later, investigators told Congress as many as 30,000 of Lerner’s “lost” emails have been “found.

    Last May, Veterans Affairs Secretary Eric Shinseki resigned in the wake of his department being accused of deadly delays in health care at some of its hospitals. E-mails allegedly discussing the destruction of a secret list of veterans waiting for care were at the heart of the scandal.

    It’s not just the federal government feeling the pain. State and county governments are grappling with these types of issues, too.

    • The state of Pennsylvania made headlines about email, archiving and deletion policies.
    • The state of New York was accused of keeping government emails out of the public’s hands.
    • A similar information battle about email has been brewing in Iowa.

    If you keep up with the news, you’ve most likely heard about a bunch of email scandals.

    Search tools should provide granularity to help find exactly what you need quickly. Some archives only provide a couple search options. Some archives are loaded with search limitations.

    Look for a solution that can perform wildcard, Boolean, proximity, fuzzy logic and custom query searches.

    Follow-up questions to ask:
    • Are there limitations on the number of mailboxes per search, volume of results per search or number of concurrent searches?
    • Are keyword statistics rendered for all searches?

    How does your archive support easy and flexible data export?
    Archived data should be able to be effectively filtered and exported. Some archives allow data to be exported only as a PST or proprietary file type; data must often be converted to another format. Some archives have zero flexibility: export of search results is all or nothing; individual messages and attachments can’t be downloaded.

    Look for a solution that enables data export as PST, EML, NSF, PDF, HTML and TXT files.

    Follow-up question to ask:
    • Can search results be filtered, tagged and exported as needed?

    If you’re not using an advanced email archiving solution to preserve valuable business data, you’re likely wasting time and money on compliance, legal and governance requirements. Plus, you may be putting your intellectual property and your business at unnecessary – and avoidable – risk.

    Get the lowdown on backupEveryone uses some kind of backup – an automated snapshot of your folder, your drive or your server, secured on a separate platform. When you do suffer the inevitable failure, a backup stands ready to restore you to that point in time you made the backup. It may not restore everything, but it will get back most of what you lost, which is better than nothing.

    How do you deal with the pain of finding out that your backup was corrupted or hadn’t been run recently enough to be helpful? Like an insurance policy, it can be hard to appreciate the value while you’re paying the premiums, or in this case, updating backup schedules, checking error logs or buying more storage media. But when you need it, having a valid backup in place can mean the difference between a minor inconvenience and a major disaster.

    World Backup Day may have caught your attention recently. This campaign was designed to raise awareness of the lowly backup and put it top of mind for knowledge workers. (And who isn’t a knowledge worker nowadays?)

    This renewed focus on data management’s oldest strategy begs the question:

    Is backup enough?

    Few doubt the value of backing up data. In fact, many make a “failsafe argument,” insisting that creating and testing multiple backups on separate platforms is the only really reliable strategy and that believing one tape will always save you is tantamount to delusion.

    The latest backup solutions have advanced the notion of a nightly backup; services like Box and Dropbox can secure copies of user-selected documents in the cloud with greater frequency and unparalleled ease. File sync and share services like Intermedia’s SecuriSync® tout collaboration over backup, but also serve to protect business data and give businesses more control of this IP.

    Businesses are managing data growth and mitigating risk by successfully implementing backup and archiving solutions that intelligently work together, especially for email. Backing up a mailbox during off hours doesn’t capture deleted mail and that may allow opportunities for employees to cover their tracks by deleting anything they don’t want backed up before the backup is run. Email archiving, of course, doesn’t allow for such hijinks.

    The main difference between backup and archiving is the objective. While both solutions seek to provide a safety net, backup takes a more brute force approach, collecting files and moving them to a storage subsystem or onto other storage media. Archiving preserves and protects a record of what was said and done, by whom and when.

    An archive creates an immutable record of every email and file attachment sent and received. It provides a historical copy that can be queried to determine who said what, did what and knew what – and when. The ability to create complex search queries and run those against thousands of mailboxes or file structures, perhaps consisting of millions of records, highlights a tangible business difference of an archiving solution.

    By implementing backup and archiving solutions that work together, businesses are cutting costs, improving operational efficiencies and better supporting compliance audits and discovery requests.
