    Battle brews over data deletion

    Here we go again. Email is back in the headlines. Every time you see the news these days, it feels like there’s another story about a government agency or a business with email troubles.

    This time, the state of New York is accused of keeping government emails out of the public’s hands.

    The coverage in Tech Dirt doesn’t pull any punches: “New York Governor Andrew Cuomo’s office continues to do everything it can to prevent its emails from being accessed by FOIL (Freedom of Information Law) requests.”

    The article claims:

    • Cuomo’s aides are sending emails from private accounts to conduct official business, to skirt FOIL requests
    • The governor’s office has set its email retention bar incredibly low with an unusually short retention schedule and aggressive deletion policies
    • The state cites storage limitations as the basis of deletion policies, despite that fact that its version of Microsoft Office 365 includes 50GB of storage per mailbox and unlimited email archiving

    A similar information battle about email started brewing in Iowa earlier this year.

    In fact, there’s been no shortage of government agencies in the spotlight because of email in recent months.

    In June, the Internal Revenue Service was under fire from Congress because it can’t find two years worth of former employee Lois Lerner’s email. That’s a huge problem, considering Congressional investigators have subpoenaed them. As you may recall, Lerner, the former Director of Tax Exempt Organizations at the IRS, was accused of targeting and delaying the applications of conservative organizations. She refused to testify before Congress, was held in contempt and left her position amid the controversy.

    In May, Veterans Affairs Secretary Eric Shinseki resigned in the wake of his department being accused of deadly delays in health care at some of its hospitals. E-mails allegedly discussing the destruction of a secret list of veterans waiting for care were at the heart of the scandal.

    The two Washington examples are just the latest in a recent series of incidents:

    • An engineer convicted of obstruction of justice for deleting messages after an accident…
    • A pro football team sidelined by accusations of cyber bullying among athletes…
    • A governor embroiled in a political scandal because of emails sent by his top aides…

    All these stories have a common theme – preserving and searching email data.

    In every article, it’s clear that cloud-based email archiving could have made a difference.

    If you’re not preserving the intellectual property and other valuable data in your email, you’re putting your organization – and maybe even yourself – at risk.

    To paraphrase the late, great Rodney Dangerfield, email gets no respect. The downside of ubiquity is that you become a commodity, and people take you for granted. Familiarity breeds contempt, as the old saying goes.

    Savvy data managers have long appreciated the fact that email contains intellectual property, and that preserving and protecting that data is important for any business – not just for big business.

    Preserving intellectual property seems like a no brainer, considering every email you send and receive contains IP.   • Tips for buying AWS Reserved Instances

    AWS Reserved Instances are a scalable, easy and cost effective way to store your information in the cloud. As described on the Amazon AWS site, it’s a web service that provides resizable capacity in the cloud.

    For those who are already using AWS, here are some recommendations:

    First generation AWS ECS instance users, if you have Reserved Instances up for renewal this year, benchmark the proper replacement instances with the 2nd and 3rd generations. Get your infrastructure automation ready to bootstrap these instance types.

    Be sure to calculate upfront cost savings and the ongoing hourly instance discount between the old and new instance types. In some cases, it may be more economical to renew your new instance type weeks or even months early.

    If you’re using an old instance type, be sure to check out the reserved instance marketplace. You can find bargains, if you’re a buyer of Heavy Usage instance types.

    Looking for the lowest Effective Rate with a relatively short term will bridge any gaps you have between your first generation instances and your move to the new generations.

    Also, don’t limit yourself to your preferred Availability Zone (AZ). Look at the region within your instance class and you’ll likely find better pricing. For example, you may be looking for c1.medium in us-east-1c but notice c1.xlarge available in us-east-1e. Once you purchase the RIs you can modify them in the AWS EC2 console and convert 1 c1.xlarge to 4 c1. Medium. Just remember to move them to your proper AZ. It may take up to an hour for the transaction to go through to then allow you to move the RI. That hour could be a good time to shop for more bargains in other regions or your favorite shopping site!
