  • Data volume drives businesses to the cloud

    For most businesses, the amount of data under management is exploding. Best practices and mounting regulations are driving many data managers and business owners to adopt a keep-more-longer policy, creating significant challenges.

    An InformationWeek survey of storage technology professionals finds that:

    • 25% retain Office and SharePoint documents indefinitely; an additional 18% have no policy for disposal, which generally translates to “indefinite retention”

    • 42% have 100 or more terabytes under active management; 11% have 1 petabyte or more

    • 27% have consolidated storage into fewer, centrally managed systems; more than 70% are either currently using or considering cloud storage

    These and other indicators reveal a mounting trend toward data preservation. Plummeting cloud storage prices, driven by heated competition between the largest public cloud providers, make cloud economics undeniable. For the vast majority of businesses, it’s simply less expensive to move data to the cloud, where aggressive SLAs, pennies-per-gigabyte costs and scalable search can generate immediate ROI. The on-premises alternatives involve both significant CAPEX for systems acquisition and continuing OPEX for maintenance, support, upgrades, training, power, cooling, etc…

    For those who have yet to make their move to the cloud, exploring this emerging platform should be a data management priority. Making cloud part of your data management schema doesn’t mean shutting down your data centers (although there have been several high profile examples of organizations doing just that).

    Offloading infrequently accessed data is a low-risk cloud implementation that frequently evolves into migrating business critical applications to the cloud. One popular starting point for cloud migrations is email archiving. For the uninitiated, email archiving involves flipping a switch within the messaging server to allow journaling. This copies every inbound and outbound message to a secure archive – creating an immutable record of every message and file attachment. This has some obvious advantages around data preservation, on-boarding new employees and conducting investigations (who said what, when). But it has larger operational implications, as the scope of litigation routinely involves the production of electronic correspondence.

    Take a look at these recent harbingers of a “new era” in email. Former San Diego interim Mayor Todd Gloria declared that the city would begin to delete year-old emails. This may seem like an innocuous municipal decision, but when you consider that the conversations and contracts contained in email would no longer be available, there are obvious ramifications for residents. Should your dispute with the city take more than a year to get before a judge, your ability to seek redress would be significantly impaired when the city says, “we no longer have any of those records.” A more severe example is the situation in Muscatine County, Iowa. The decision-makers there, faced with the reality that “email tells the story,” are now refusing to archive any of them, as they may later be used against them.

    With apologies to the Borg, resistance to the cloud is futile. Cloud service providers have bet billions on this computing paradigm succeeding – and it’s going to. (Yes, we’re biased!) If you have data management challenges, you owe it to yourself and your bottom line to look at the cloud.

    What’s cloud search and why should you care?The more high tech changes, the more things stay the same. There’s never any lack of hot new trends, must-have gadgets or transformative technologies. High tech has a long history of continually evolving platforms or what the biz whiz kids call “shortening the replacement cycle” (also known as planned obsolescence).

    So it’s understandable why you may be skeptical of this proclamation: Cloud search is one of those few things that actually changes everything.

    One point of clarification: I’m using the term cloud search to refer to distributed, massively-scalable search applications resident in true cloud architectures, not the regional data centers cloud-washing their hosted offerings. I’m not talking to product detail on the myriad of vendor-specific and open source implementations of Solr, Elasticsearch, Splunk, Google, Azure, Nutch… but rather to the unprecedented business value made possible with this powerful new breed of cloud-based search engines.

    What’s different this time around?
    Basically it boils down to the massively parallel processing power of a cloud platform and new distributed software architectures that are far more scalable and fault tolerant than traditional search applications. What makes this technology truly impactful is the prevalence of Big Data. Faster search is always great, but trying to make sense of millions or billions of objects requires powerful search. At the nexus of these two tech trends is the promise of analytics.

    To make any sense of the mountains of data we collect on products, customers, suppliers, employees, market and buyer behavior, we need to be able to efficiently parse and peruse large datasets and then identify and surface relevant objects for further review.

    Due to the rapid elasticity of the cloud, it’s possible to run these large scale operations on demand and pay only for the processing power you use. This is a vastly different cost model than the traditional data center configuration; typically, you’d have to build out the infrastructure to accommodate your highest usage and continue to carry that expense even when you’re only using half of it.

    Eliminate server bloat and cut your data storage costsManaging email is an ongoing challenge; as a result of the ever-increasing volume of messages and file attachments, the average mailbox size has been on the rise for years.

    As mailbox sizes have swelled, many organizations allow quotas as high as 10 gigabytes per mailbox! While saving every message has clear advantages for users, it won’t take long to fill that quota. Plus, email servers are being asked to store, index and backup ever-larger data stores.

    Large mailboxes and the data stores they require often present performance problems. The number of documents and the number of users affect performance in the same manner: both have a negative impact on response time and resource requirements.

    In addition to increased average response times, Exchange and Domino servers can become bloated repositories of rarely accessed messages, requiring significant time and resources to back up records that are essentially no longer useful.

    Server administrators can try a number of remedies, including defragging disk drives, amending the partition allocation unit for mailbox servers and setting lower mailbox quotas.

    From an information governance perspective, forcing quotas on users almost certainly results in data leakage. Users create multiple PST files, which may contain hundreds of thousands of emails and attachments each. That corporate IP gets littered across disk drives, cloud folders and USB devices… This creates a number of problems for organizations seeking to actively manage and leverage data and can seriously compromise e-discovery processes and result in serious sanctions.

    So what’s the solution?
    Cloud archiving creates an immutable record (a vault, if you will) of every inbound and outbound message, complete with attachments. By leveraging the scalability of the cloud, these messages can be indexed and searched, enabling faster auditing and investigation and complete and accurate document production in the event of litigation.

    Ingesting legacy mail data into the cloud frees organizations from storing those files on the server; users can easily search the cloud repository to recover old or deleted messages and attachments without help from IT.

    Establishing an affordable and searchable message store in the cloud and developing defensible deletion policies on the server reduces backup time and resources, speeds server performance and eliminates the expense of acquiring and maintaining storage media.

    It’s simple: reduce the size of your local information store and get rid of server bloat. Plus, offloading servers and archiving in the cloud cuts your data storage costs!

    Is your email data protected today? What about yesterday’s?

    More companies than ever are adopting cloud-based archiving to preserve the intellectual property in email messages and file attachments. Implementation couldn’t be easier: email archiving is typically up and running in less than an hour, with all inbound and outbound mail messages secured in the cloud. Once archiving is implemented, a company begins to accumulate a highly available, affordable and easily searchable body of data.

    But what about the thousands (or maybe millions) of emails from the past locked in backup tapes, PST files, SANs and old disk drives?

    Make the most of your cloud archive: maximize the data being preserved and reduce the headaches of maintaining aging and disparate systems by ingesting your legacy data. But it’s in piles of ¾” tapes, you say. No problem!
