Get answers to your common archiving questions

Evaluating a cloud-based email archiving solution? It can be time consuming and hard! But it doesn’t have to be.

For most businesses, regardless of size or industry, email archiving is a necessity and not an option at this point. But based on the ever-growing legal, regulatory and data governance requirements, basic email archiving functionality typically isn’t enough.

An advanced email archiving solution provides added capabilities related to data protection, search and flexibility that help a business cost effectively meet data demands and lower institutional risk:

    • Automatically secure and preserve every inbound and outbound email and file attachment
    • Find and retrieve exactly what you need in seconds with fast and accurate search tools
    • Quickly and easily filter, tag and export relevant content

Warning: Some of the most popular and widely used email archiving platforms include restrictive data preservation, search and export limitations that make it challenging and expensive to meet the ongoing and growing demands for data and protect intellectual property. Those limitations can substantially raise the costs and risks associated with email management, compliance and discovery.

Ask these questions and use the accompanying talking points to help quickly evaluate a cloud-based email archiving solution for your business and determine whether it includes some of the most critically needed functionality.

How does your archive ensure the integrity of data for compliance, legal and other purposes?
Data preservation should ensure the protection of valuable information. Some archives allow data to be edited. Some archives provide access to deleted mailbox data for only a short time. Some archives support a very limited number of file attachment types.

Look for a solution that protects data with the integrity and security of industry-leading safeguards and protocols, including:

    • Preserving every inbound and outbound message with immutable WORM storage
    • SSL encryption for data in transit
    • AES-256 encryption for data at rest
    • Geo-dispersed data centers that are FISMA, ISO 27001, SSAE- 16, FedRamp and PCI-DSS compliant

    Follow-up questions to ask:
    • Can deleted messages and attachments be accessed indefinitely?
    • Does deleted data remain searchable and downloadable?
    • Is a wide range of file types archived and indexed, including video, audio and image files?

How does your archive make it fast and easy to search and find all relevant data?
Search tools should provide granularity to help find exactly what you need quickly. Some archives only provide a couple search options. Some archives are loaded with search limitations.

Look for a solution that can perform wildcard, Boolean, proximity, fuzzy logic and custom query searches.

    Follow-up questions to ask:
    • Are there limitations on the number of mailboxes per search, volume of results per search or number of concurrent searches?
    • Are keyword statistics rendered for all searches?

How does your archive support easy and flexible data export?
Archived data should be able to be effectively filtered and exported. Some archives allow data to be exported only as a PST or proprietary file type; data must often be converted to another format. Some archives have zero flexibility: export of search results is all or nothing; individual messages and attachments can’t be downloaded.

Look for a solution that enables data export as PST, EML, NSF, PDF, HTML and TXT files.

    Follow-up question to ask:
    • Can search results be filtered, tagged and exported as needed?

If you’re not using an advanced email archiving solution to preserve valuable business data, you’re likely wasting time and money on compliance, legal and governance requirements. Plus, you may be putting your intellectual property and your business at unnecessary – and avoidable – risk.

  • Not all email archives are created equal

    April 28, 2015

Not all email archives are created equalThere are two kinds of businesses in today’s world: those that have an adequate email archiving solution and those that think they do.

    Which one is yours?

With the mounting regulatory, legal and governance requirements, basic email archiving functionality typically isn’t enough anymore for most businesses.

Here’s the problem: Some of the most popular, widely used email archiving platforms include restrictive data preservation, search and export limitations that make it time consuming, expensive and hard (maybe even impossible!) to meet the ongoing and growing demands for data and protect intellectual property. Those limitations can substantially increase the risks and costs associated with email management, archiving, compliance and discovery.

For most businesses, an advanced cloud-based email archiving solution provides the added capabilities related to data protection, search and flexibility necessary to cost effectively meet data demands and lower institutional risk.

    Evaluating an email archive
    • Some archives allow data to be edited. Other archives preserve every inbound and outbound message using immutable WORM-compliant storage. Question to ask: How does your archive ensure the integrity of data for compliance, legal and other purposes?

    • Some archives only provide a couple search options. Other archives perform wildcard, Boolean, proximity, fuzzy logic and custom query searches. Question to ask: How does your archive make it fast and easy to search and find all relevant data?

[White Paper] The Need for Third-Party Archiving in Office 365Using Office 365? Considering it?

Don’t miss this valuable information about data protection, email archiving and Office 365!

Here are two key findings from The Need for Third-Party Archiving in Office 365, a detailed new white paper from the experts at Osterman Research:

    • In today’s complex business, legal and regulatory environments, basic email archiving functionality is not enough and may end up costing an organization more than expected.

    • Office 365 does include several built-in general-purpose email archiving capabilities and some basic functionality, such as simple eDiscovery and high-level retention capabilities for regulatory compliance. However, for many, these simple capabilities may not be enough.

    See for yourself:

    • How the legal, regulatory and business requirements for email archiving continue to grow and are becoming more complex
    • Why the risks and costs associated with inadequate email archiving capability continue to rise
Which Office 365 search limitations pose additional risks and costs not found with more powerful third-party archiving solutions
    • Why Office 365 basic email archiving does not meet the additional eDiscovery and regulatory requirements with which many organizations are faced
    • How many third-party solutions meet the most stringent and complex email archiving requirements

    Bonus: Email Archiving Checklist
Use this comprehensive list of considerations in The Need for Third-Party Archiving in Office 365 to evaluate your organization’s email archiving requirements and determine whether Office 365 adequately addresses them.

  • Get the lowdown on backup

    April 13, 2015

Get the lowdown on backupEveryone uses some kind of backup – an automated snapshot of your folder, your drive or your server, secured on a separate platform. When you do suffer the inevitable failure, a backup stands ready to restore you to that point in time you made the backup. It may not restore everything, but it will get back most of what you lost, which is better than nothing.

How do you deal with the pain of finding out that your backup was corrupted or hadn’t been run recently enough to be helpful? Like an insurance policy, it can be hard to appreciate the value while you’re paying the premiums, or in this case, updating backup schedules, checking error logs or buying more storage media. But when you need it, having a valid backup in place can mean the difference between a minor inconvenience and a major disaster.

World Backup Day may have caught your attention recently. This campaign was designed to raise awareness of the lowly backup and put it top of mind for knowledge workers. (And who isn’t a knowledge worker nowadays?)

This renewed focus on data management’s oldest strategy begs the question:

    Is backup enough?

Few doubt the value of backing up data. In fact, many make a “failsafe argument,” insisting that creating and testing multiple backups on separate platforms is the only really reliable strategy and that believing one tape will always save you is tantamount to delusion.

The latest backup solutions have advanced the notion of a nightly backup; services like Box and Dropbox can secure copies of user-selected documents in the cloud with greater frequency and unparalleled ease. File sync and share services like Intermedia’s SecuriSync® tout collaboration over backup, but also serve to protect business data and give businesses more control of this IP.

Businesses are managing data growth and mitigating risk by successfully implementing backup and archiving solutions that intelligently work together, especially for email. Backing up a mailbox during off hours doesn’t capture deleted mail and that may allow opportunities for employees to cover their tracks by deleting anything they don’t want backed up before the backup is run. Email archiving, of course, doesn’t allow for such hijinks.

The main difference between backup and archiving is the objective. While both solutions seek to provide a safety net, backup takes a more brute force approach, collecting files and moving them to a storage subsystem or onto other storage media. Archiving preserves and protects a record of what was said and done, by whom and when.

An archive creates an immutable record of every email and file attachment sent and received. It provides a historical copy that can be queried to determine who said what, did what and knew what – and when. The ability to create complex search queries and run those against thousands of mailboxes or file structures, perhaps consisting of millions of records, highlights a tangible business difference of an archiving solution.

By implementing backup and archiving solutions that work together, businesses are cutting costs, improving operational efficiencies and better supporting compliance audits and discovery requests.

  • Don’t be fooled by inferior email archives

    April 1, 2015

Don’t be fooled by inferior email archivesHave you heard the one about the secretary of state, the private email server and the delete button? If so, you know that it’s not an April Fools’ Day joke. It’s the latest (avoidable) email scandal – and it should make you think twice about protecting your business data.

Is the intellectual property in your emails, file attachments and other electronic business communications completely protected? With so much confusion about cloud archiving facts vs. myths, you better be absolutely sure!

Take advantage of added benefits and functionality
No matter the day of the year, the serious fact remains the same: Basic email archiving functionality just isn’t enough for most businesses.

If you’re missing an advanced cloud-based email archiving solution, you’re missing added data protection, search capabilities and data flexibility.

Automatically secure and preserve every inbound and outbound email and file attachment…

Find and retrieve exactly what you need in seconds with fast and accurate search tools…

Quickly and easily filter, tag and export relevant content…

Stop wasting time and money on compliance, legal and governance requirements!

Overcome the limitations of restrictive platforms
Some of the most popular, widely used email archiving platforms include restrictive data preservation, search and export options that make it time consuming, expensive and hard to meet the ongoing and growing demands for data.

Ask these questions to avoid being fooled by inferior email archives:

    • Is every inbound and outbound message preserved using immutable WORM-compliant storage?
    • Is indefinite access to deleted items provided?
    • Does deleted data remain searchable and downloadable?
    • Is a wide range of file types indexed and archived, including video, audio and image files in emails and attachments?
    • Can wildcard, Boolean, proximity, fuzzy logic and custom query searches be performed?
    • Are there limitations on the number of mailboxes per search, volume of results per search or number of concurrent searches?
    • Are keyword statistics rendered for all searches?
    • Can search results be filtered, tagged and exported as needed?
    • Can data be exported as PST, EML, NSF, PDF, HTML and TXT files?

Effectively preserving and searching data – and being able to easily retrieve it as needed – reduces the costs and risks of compliance, discovery and doing business.

  • Still on the fence about email archiving?

    March 30, 2015

Still on the fence about email archiving?Even with email archiving making the front page lately, too many businesses are still leaving it on the back burner for too long. That’s a problem. Many of the arguments demanding the preservation of records in the cases of public officials and government departments are equally applicable to corporate communications.

What if you need to look back and determine who knew what, when?

Why let email users decide what’s worthy of preservation?

Who’s responsible for ensuring all intellectual property is protected?

Some organizations may be revisiting these questions in light of recent news – and rightly so. While these raise some complex questions about information governance and data management, the immediate solution is simple: start archiving your email.

It’s not a big project, it doesn’t have major budget implications and it won’t take a SWAT team. Get started today and archive email to the cloud – with no hardware, no software, no setup costs. With a simple journaling configuration, you can be securely preserving every inbound and outbound email in a highly available, highly reliable cloud data store.

Financial services firms frequently remind us that worrying about starting retirement savings isn’t the answer. Saving a little money every day is the best way to start – and the sooner, the better. Likewise, archiving data in an affordable, accessible system is the best way to start and now is the best time.

As your messaging servers shed inactive data and your backup cycles run faster, end users can also restore their own lost or accidentally deleted emails and attachments. Those are some nice side benefits, but starting your archive now means you can take some time to consider ingesting legacy data and training your HR, Compliance and Legal teams to conduct their own high speed searches in the archive.

Like saving for retirement, starting now can’t hurt you. If you decide to install an on-premises system or a hybrid solution later, you’ll have that flexibility. But starting today means you’ll have that ability!

  • Evaluating an email archiving solution

    March 26, 2015

Evaluating an email archiving solutionDoes your business automatically secure and preserve every inbound and outbound email and file attachment?

Can you find and retrieve exactly what you need in seconds with fast and accurate search tools?

Are you able to quickly and easily filter, tag and export relevant content?

If not, you’re wasting time and money on compliance, legal and governance requirements.

When it comes to email archiving, basic functionality typically just isn’t enough anymore for most modern businesses.

Here’s the problem: some of the most popular, widely used email archiving platforms include restrictive data preservation, search and export options that make it time consuming, expensive and hard to meet the ongoing and growing demands for data. Those limitations have the potential to substantially and seriously increase the risks and costs associated with email management, archiving, compliance and discovery.

Here’s the good news: advanced cloud-based email archiving solutions provide businesses with added benefits and functionality, including added data protection, search capabilities and data flexibility.

Effectively preserving and searching data – and being able to easily retrieve it as needed – reduces the costs and risks of compliance, discovery and doing business in general.

Here are some major considerations when evaluating a cloud-based email archive:

Data Preservation – Protect the right information
Some archives allow data to be edited. Some archives provide access to deleted mailbox data for only a short time. Some archives support a very limited number of file attachment types.

    Look for a solution that:

    • preserves every inbound and outbound message using immutable WORM-compliant storage
    • provides indefinite access to deleted items; data should remain searchable and downloadable
    • indexes and archives a wide range of file types, including video, audio and image files in emails and attachments

Search – Find exactly what you need quickly
Don’t settle for just wildcard and Boolean searches. Take advantage of the other search options available and the granularity they provide.

    Beware of search limitations.

    Look for a solution that:

    • includes proximity, fuzzy logic and custom query searches
    • provides no limitations on the number of mailboxes per search, volume of results per search or number of concurrent searches
    • renders keyword statistics for all searches

Data Flexibility – Filter, tag and export relevant content
Some archives have zero flexibility: export of search results is all or nothing; individual messages and attachments can’t be downloaded. Some archives allow data to be exported only as a PST or proprietary file type; data must often be converted to another format.

    Look for a solution that:

    • provides the ability to filter and tag search results and export only and exactly what you need
    • enables flexible data export as PST, EML, NSF, PDF, HTML and TXT files
