Without question, take advantage of legacy ingestion

Is your email data protected today? What about yesterday’s?

More companies than ever are adopting cloud-based archiving to preserve the intellectual property in email messages and file attachments. Implementation couldn’t be easier: email archiving is typically up and running in less than an hour, with all inbound and outbound mail messages secured in the cloud. Once archiving is implemented, a company begins to accumulate a highly available, affordable and easily searchable body of data.

But what about the thousands (or maybe millions) of emails from the past locked in backup tapes, PST files, SANs and old disk drives?

    Reach back to race forward
Make the most of your cloud archive: maximize the data being preserved and reduce the headaches of maintaining aging and disparate systems by ingesting your legacy data. But it’s in piles of ¾” tapes, you say. No problem! For the last seven years, Sonian has been optimizing ETL to enable our customers to preserve important data, even if they no longer possess the hardware capable of reading these storage media. After all, if it was important enough to backup, it’s important enough to archive.

    What about the cost?
The cost of data ingestion hovers around $10 per gigabyte, which could be a considerable expense if you have 3 terabytes lying around. But what’s the cost of not being able to properly defend yourself in court because you couldn’t find relevant messages? What’s the cost of auditors waiting for IT to produce documents? What’s the cost of the loss when these tapes degrade or these disks fail?

    What about the value!
Ingestion enables organizations, including those that have acquired companies with diverse email systems, to create a single, searchable collection of messages and attachments. By freeing itself from maintaining dated media and enabling high-speed search, a company can take full advantage of all the benefits of archiving.
Despite up front costs, creating a complete cloud corpus enables an organization, over the long term, to realize the real value of its backup data, use cloud computing to de-dupe at scale and mine valuable data for business insight.

When it comes to legacy email data, it’s usually best to ingest!

  • Why business relationships matter more than ever

    January 21, 2015

Why business relationships matter more than everHere we go, again.

Are you ready for more consolidation in the email, archiving and cloud markets? Recent noteworthy examples include Carbonite’s acquisition of MailStore and Datto buying Backupify – just days apart. (Go Boston!) It’s likely to continue in 2015.

This consolidation is a great reminder of why it’s so important to develop solid business relationships. In sales, like all of life, it’s the relationships that matter. Whether working on a fast and small deal or a huge one that takes months to finalize, it’s the details of our interpersonal interactions that we’re likely to remember long after the close, not the terms of the contract.

With Sonian’s cloud-based email archiving solution, you get two huge advantages along those lines: vast experience and strong partnerships. More than 19,000 customers in 40 countries trust Sonian’s secure SaaS platform and cloud search engine to retain and retrieve valuable data and protect intellectual property.

Sonian’s email archive is compatible with a wide variety of email platforms, including Microsoft Exchange, Kerio Connect, Lotus Notes, Lotus Live iNotes, Ipswitch iMail Server, VMware Zimbra, Rackspace Email, BlueTie Hosted Email, Google Apps / Gmail and many others.

Sonian’s partners include all the leading email and cloud solution providers.

Experience and relationships matter, especially when it comes to protecting your valuable business data. Be sure you get both when you need them the most.

  • In 2015, technology will fuel new business opportunities

    January 19, 2015

    Happy New Year!2015 Technology Predictions

Here are some predictions about the cloud, big data, machine learning and enterprise IT – and how their intersection will impact businesses this year.

    “Cloud is the new normal.”
I’m stealing this statement from Amazon Web Services SVP Andy Jassy because I wholeheartedly agree. Cloud has become the default platform to launch new projects, from creating new mobile apps to rebuilding legacy enterprise internal systems.

The market will coalesce around a few massive public clouds (Amazon Web Services, Google Compute Cloud and Microsoft Azure Cloud) because they have the momentum and financial backing to support extreme innovation on two important fronts: drive cost down while at the same time adding new features. There will also be room in the market for niche cloud players that compete with differentiated features and customer support. Cloud providers, including Rackspace, Digital Ocean, CenturyLink and Joyent, are offering value-added services and targeting specific and different personas than AWS, GCE and Azure.

Cloud vendors will offer new capabilities to help customers make more efficient use of physical resources. AWS Lambda and the containerization movement sparked by Docker are two examples and there’s going to be more to come.

Finally, look for the concept of installed Software as a Service to become a viable cloud consumption model for larger enterprises.

    More startups and more innovation
In 2015, we’ll see even more startups emerging to solve big and small problems. Startups in 2015 will benefit from the wide array of open source technology building blocks and ever-cheaper cloud infrastructure. Multiple avenues exist to finance a new business, including startup incubators, angel syndicates and Kickstarter campaigns. New teams are creatively combining these funding sources with lean principles to efficiently determine whether an idea is worth pursuing.

While it’s never been easier to technically build something, the real work is figuring out what to create. There will be a lot of spaghetti thrown against the wall to see what sticks with customers.

User experience becomes a major differentiator
With so many new projects launching on commodity platforms, the ways to differentiate one company from another will be limited. Assuming everyone has access to open source, cloud, a worldwide talent base and app store distribution, finding ways to stand out will be more difficult.

Visual presentation and user experience help a company get noticed, attract an audience and beat competitors.

Machine learning and data visualization take off
Business will expand their desire to find exponential value in the all the data collected. With cloud-based email archiving, it’s never been less expensive to preserve a business’s digital artifacts. In 2015, there will be more projects that help companies mine their data for valuable insights.

These include new ways to interact with massive amounts of data, including user experiences that will be radical yet also feel intuitive and familiar.

The concept of digital librarians will expand this year, as companies will want talented searchers to be able to help determine the best uses of all this information.

Machine learning and artificial intelligence engines will also be deployed across the clouds to analyze petabytes of text and serve up valuable intelligence.

    Enterprises embrace internal app stores
Businesses will deploy internal app stores to give employees self-service access to a wide array of company-sanctioned IT services. IT itself will increasingly become a value-add service as opposed to strictly a cost center.

Internal app stores will be curated by IT groups and influenced by business unit managers. All knowledge workers are comfortable with the app store concept and internal app stores will use security and auditing controls to monitor access.

    Bring your own… everything
We’re well into the era of bring your own device (BYOD), with employees using their own smartphones and tablets at work. Internal app stores will help monitor information security policies.

Bring your own everything is just around the corner. Businesses will allow individuals to bring everything from their own IT (devices and apps) to their own healthcare (ACA State health exchanges). Over the next five to 10 years, companies will provide less central core services and place the burden (and opportunity) on the employee to be more self-sufficient. The only thing a business will keep safety hold of is the critical data that makes up the organization’s crown jewels.

  • Protect your business data with management, storage and archiving best practices

    January 8, 2015

Protect your business data with management, storage and archiving best practices

Data woes related to email are in the headlines – again.

This time, the story is about a massive data breach at Sony that exposed personal information about employees and has resulted in a class-action lawsuit related to the email leaks, according to the LA Times.

This is just the latest in a growing number of email scandals. From Target to the IRS, stories about businesses and government agencies with email and data retention troubles are all over the news lately.

If you’re not preserving and protecting the intellectual property and other valuable data in your email, instant messages and file attachments, you’re putting your organization – and maybe even yourself – at unnecessary risk.

    Boost protection
For years, organizations of all sizes have been struggling with challenges related to the unprecedented growth of unstructured data, the pressure to retain an ever-increasing share of that information and the diminishing benefits of traditional storage products.

Meanwhile, in the past decade or so, mailboxes have grown from several megabytes to 100s of megabytes. Now, the average corporate mailbox is allocated more than 10 gigabytes of storage – and the trend shows no sign of relenting. Those electronic communications are loaded with confidential data, intellectual property and all kinds of other critical business information.

For most businesses, cloud archiving is a viable solution to help overcome the increasingly common data storage, management and security challenges. To protect that critical information sent and stored in email, it makes sense to periodically offload that data from the server and to instead preserve it in a secure cloud archive. Data that isn’t stored on the server can’t be stolen in the event of a breach!

Beyond the risk of a data breach and other threats, maintaining large data stores also impedes the performance of the IT infrastructure and applications. Mail systems buckle under the weight of giant data stores. Network latency increases as backup windows span an ever-growing portion of the business day. Users are less productive when their email servers are unresponsive. Businesses risk losing profits when critical applications are slow and unstable!

    Cut costs
The storage of user-generated data places an ever-increasing drain on budgets, focus and productivity. Businesses have tried to address the data explosion by buying more storage. In addition to the capital outlay, each new array consumes focus. New servers need to be installed, networked, configured, maintained, backed up and monitored by IT. Each consumes valuable data center space, power and cooling. Many are included in disaster recovery plans, de-duplicated and replicated to a secondary site. In the end, the direct and indirect expenses of on-premise storage systems are considerably higher than the budget line items ever reflect.

Today, off-site means off-loaded; less equipment in house results in less hassles and costs all around. That’s the reason so many IT professionals are moving their businesses away from maintaining traditional on-premises storage.

With a cloud archive, you slash your data storage footprint, maintenance and expenses. There’s no hardware of software to buy, maintain or upgrade. Plus, you get unlimited storage and unlimited retention for an affordable and predictable cost. The archive scales as your data grows and there are never any additional storage charges – ever.

Protect your data, your business and yourself – before there’s an issue. See all the benefits of cloud archiving right now!

  • Optimize data preservation with cloud archiving

    January 5, 2015

Optimize data preservation with cloud archivingThere’s more to data preservation than just backup!

Backup is for recovery. Archiving is for discovery. Why aren’t you leveraging the benefits of both?

Here are three reasons it makes sense to integrate backup and cloud archiving.

    Cloud archiving cuts data-storage costs.
By integrating archiving, you eliminate the continuous capture and storage of data that’s unlikely to be accessed. As a result, you decrease the amount of in-house storage needed for backup and also decrease the associated costs.

Reducing redundant and static data with a well-aligned archiving strategy can save up to 60% of backup costs, according to a report by Gartner.

    Cloud archiving improves operational efficiencies.
An integrated archiving and backup strategy ensures optimization of your storage repositories and also reduces the number of redundant copies of data you’re capturing and retaining.

Optimizing storage and eliminating redundancy simplifies data management.

Cloud archiving provides better support for compliance audits and discovery requests.
By integrating archiving, it’s fast and easy to search and retrieve all critical and relevant data when you need it. You can find exactly what you need in seconds. Anyone who’s had to search backups for data knows how time consuming and hard it is.

Optimizing backup and archiving policies for the purpose of information governance decreases the time and effort it takes to respond to end-user requests for data.

Integrating cloud archiving and backup cuts storage costs, improves efficiency and makes it easier to find data.

  • Cut business costs and hassles with cloud archiving

    December 30, 2014

Cut business costs and hassles with cloud archiving

Fact: If you’re archiving on-premises, you’re wasting money.

Take advantage of cloud economics! Here are some key benefits of archiving in the cloud to preserve and protect your intellectual property and other valuable business data.

Archiving in the cloud saves you money.
On-premises archiving is expensive and expansive, with costs exploding at the same astronomical rate as your critical information.

With cloud archiving, you get unlimited storage and unlimited retention for an affordable and predictable cost. The archive scales as your data grows and there are never any additional charges.

Archiving in the cloud decreases your on-site data footprint.
IT professionals are constantly asked to do more with less, which is why so many are moving away from maintaining local equipment. Today, off-site means off-loaded; less equipment in house results in lower costs and fewer hassles.

With cloud archiving, there’s no hardware or software to buy and no maintenance to perform.

Archiving in the cloud is fast and easy to implement.
There’s no need to have someone onsite for days or even weeks of implementation. There’s no need to have someone on-site at all – ever.

With cloud archiving, you can be up and running in less than 20 minutes.

Archiving in the cloud cuts costs, eliminates hardware acquisition and maintenance and is super easy to implement.

  • Cloud archiving provides more business value than backup

    December 22, 2014

Cloud archiving provides more business value than backup

Have you deleted an email and then needed it later? It happens.

Business is awash in email. That isn’t a bad thing, of course; it’s how much of modern business gets done. With so much mail flowing into your inbox, it’s easy to get information overload and to be a little overzealous with your delete button in pursuit of inbox zero.

If you do zap messages that you realize you need later on, an email archive is the easiest way to recover your own lost or accidentally deleted messages without help from IT.

Here are four major advantages of using cloud-based archiving for instant messages, emails, and file attachments.

    Save money
Cloud computing has clear economic advantages. There’s no more buying subsystems, paying for maintenance agreements, updating software or training employees… Cloud storage comes with a fixed and affordable cost. With Sonian’s cloud archive, you also get unlimited storage and unlimited retention. In other words, for a few dollars per user per month, an organization can stop buying, operating and upgrading disk farms and subsystems that do nothing but store data. Backup and restore processes run faster when infrequently accessed data is offloaded from servers; it just doesn’t make sense to use “top-tier storage” for old content that is rarely accessed.

Email archiving helps you make more of your premium disk space. Many savvy organizations are cutting costs by moving infrequently accessed content to less expensive (and more available) cloud storage.

    Protect data
How much data is distributed across your company’s laptops, network SANs, USB drives, DVDs, external hard drives and PSTs? How often does your IT department face data recovery from a corrupted PST or have to scour backup tapes from months ago? When messages are stored on media that IT doesn’t “completely control,” the likelihood of data loss increases.

Cloud archiving can truly save the day by keeping all the data under your control — where you can get to it when you need it. Combined with rigorous backup procedures, archiving provides your business with secure and affordable data preservation, self-service file recovery for end users and the flexibility to perform large-scale system restores when that need arises.

    Retain IP
Knowing what to keep and for how long is at the heart of the fine art of data retention. While some (most?) email is clearly destined for the trash bin, the value of some messages may not be known for years. An innocuous calendar entry might later prove the whereabouts of someone involved in litigation. A quick email to a customer agreeing to a request may later be seen as a written amendment to an existing agreement.

Regardless of how you decide what’s worth keeping, you’ll need a secure and affordable place to keep it. By archiving messages and attachments in a third-party store, you separate the data stream from both the messaging server and the user’s mailbox, ensuring data integrity.

Retention is also heavily driven by compliance requirements, as many industries are subject to legal mandates that dictate how long communications need to be preserved. A popular approach to this retention quandary is to retain everything, perhaps applying defensible deletion or some level of de-duplication to that dataset, but not always; unlimited cloud storage and powerful cloud search functionality often make it easier to store everything and surface relevant documents as needed.

    Improve insight
In a cloud archive, business communications are easily searched by authorized personnel, to quickly locate relevant information. Cloud-powered search enables businesses to mine email and attachments to reveal operational insight: Who is communicating most with your largest customers? Which teams are collaborating within the organization? Mining email for business intelligence can reveal patterns that might prompt corrective action — or that are worthy of replication across the business.

Knowledge is power: the ubiquity of email as a business communications tool represents a goldmine of business intelligence for those who fully exploit this potential.

When your company faces a discovery request, conducts an internal investigation or needs to find one critical email from years ago, cloud archiving can make that effort a lot faster and easier. As email is one of the most frequently used communication tools, preserving, protecting and presenting that knowledgebase cuts costs, mitigates risk and powers new found insights into the business.

  • Faster, easier and cheaper data preservation? Yes!

    December 18, 2014

Faster, easier and cheaper data preservation? Yes!Innovate or fail.

That tried-and-true rule is more important than ever for modern businesses, especially when it comes to technology and data governance.

As Sonian’s CTO Greg Arnette likes to say, “IT is going the way of electricity.”

    Let me explain…

At the beginning of the 20th century, many companies had a vice president of electricity to ensure the business literally stayed powered and on track. By the beginning of the 21st century, the vice president of electricity was long gone, of course. Remembering to pay the bill is now the only thing modern companies worry about when it comes to electricity.

Today, though, many companies have a vice president of IT – the “new” department charged with keeping businesses running. Instead of shoveling coal in the company power plant, today’s IT professionals oversee a myriad of business-critical systems and functions. Typically, preserving business-valuable data in a secure, scalable and systematic way is one of those responsibilities.

While company data is at the forefront of business conversations these days, actually dealing with the data should be an afterthought, left for the professionals. Like electricity, there’s no longer any reason to burden internal resources with some of these functions when they can easily be outsourced to save effort, time and money.

Cloud archiving is one business function that makes perfect sense to outsource.

IT professionals are constantly asked to do more with less, which is why so many are moving away from maintaining on-premises equipment. Today, off-site means off-loaded; less equipment in house results in less hassles and costs all around.

    With Sonian’s cloud archive, you:
    • Automatically capture all sent and received emails in a secure cloud
    • Search the full text of emails and 500 types of file attachments
    • Support compliance regulations and discovery requests

    Take advantage of cloud economics.
With cloud archiving, you reduce IT expenses. There’s no hardware or software to buy, no maintenance to perform and no need to have someone onsite for days or even weeks of implementation. With Sonian, you archive, index and search your email – in less time than it takes to change a light bulb. Plus, you get unlimited storage and unlimited retention for an affordable and predictable cost.

Slash your data storage footprint, maintenance and expenses – with a third-party cloud archive.
